Privacy statement

Roomalert is a Telegram bot that alerts you when a room or studio comes up in Amsterdam or Utrecht, and that lets you place a room yourself. This page says what Roomalert keeps about you, why, for how long, and how to erase all of it.

If you are looking for a room

To be able to alert you, Roomalert keeps:

Your profile is kept until you erase it. The history of your alerts is erased after 90 days.

If you place a room

Of a room you place, Roomalert keeps your answers (city, room or studio, rent, size, neighbourhood, dates, registration), the text you write, and for each photo the reference Telegram returns. Roomalert does not keep the photo files themselves; they stay with Telegram. If you give a street and postcode, they are never shown: they only serve to avoid placing the same room twice.

Roomalert also keeps the state the room is in, when you submitted it, and the outcome of the review, as a code and without a note. For the bot's limits (five rooms a week at most, a limited number of responses and messages a day) it counts how often you submit or send something.

Searchers get the facts, your text and your photos in their alert. This website shows the facts only: room or studio, neighbourhood, rent, size, available from, rental length and registration. A room that the bot sends with a warning is not shown on the website.

Conversations through the bot

When a searcher responds to a room, the bot passes the messages on. The advertiser sees the searcher's first name and short introduction. The bot never shows a Telegram name, phone number or mail address of one person to the other.

The messages of a conversation are kept while it is open and until 30 days after it was closed. Then they are erased. They are kept so that a report of abuse can be judged: when either party presses "Meld misbruik" (report abuse), the owner of Roomalert gets to see the conversation.

Anthropic's language model

Roomalert uses a language model made by Anthropic (Claude) for two things:

Your profile, your mail address and the number of your Telegram chat do not go to the model. [To be confirmed by the owner: the terms agreed with Anthropic on processing and retention, and the country in which the processing takes place.]

Rooms on other sites

Of a room that is listed on another site, Roomalert keeps facts only (city, neighbourhood, rent, size, dates, rental length, registration) and the link to the advertisement. No text, no photos and no name or contact details of the advertiser.

Blocking

Someone who abuses the bot can be blocked by the owner and can then no longer place or respond. With a block, the moment and a short reason are kept.

When someone who is blocked erases their account, one thing stays: a hash of their Telegram user id, made with a secret key, for twelve months after the block. In a conversation with the bot that id is the same number as that of the Telegram chat. That way the block still holds if that person comes back. Nothing else of that person is kept: no name, no messages, no reason. Without the key the id cannot be worked out from the hash. [For the lawyer to weigh: the hash remains personal data for as long as the key exists.]

When someone erases their account while a report of abuse against them is still open, the same hash is kept for 30 days at most, so that the owner can still decide. [This is a provisional choice; the owner and his lawyer decide whether it stays.]

Who else is involved

Roomalert does not sell your data and does not pass it on to anyone else.

This website

The website shows yesterday's rooms and two buttons to the bot. It sets no cookies, uses no analytics and loads no fonts, scripts or images from other parties. To deliver the page, the server processes your IP address. [Whether and for how long the server keeps it in log files: to be filled in.]

Erasing everything

Send /verwijder to the bot and confirm. That erases your profile, your mail address, the history of your alerts, your rooms with their text and the references to your photos, and all your conversations with every message in them. Whoever was in a conversation with you gets a short message that it has ended.

Two things remain after that. If you had placed a room, the facts of that room (without text, photos, address or anything that points to you) are kept as a closed room for 90 days at most. And if you were blocked, the hash described under "Blocking" stays.

Your rights

You can ask what Roomalert keeps about you, have it corrected or erased, and object to its use. Mail info@roomalert.nl for that. If you disagree with how Roomalert handles your data, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
